Account Statement Report

A Statement displays the amount due broken down by trip.  You can choose to populate the report using a specific date range and account.  Statements can be exported and printed to send to customers. 

Navigate to the Billing tab, then select the Reports icon. 

1.  Double-click Statements

2.  Click the calendar icons to select the beginning and end date.

3.  Double-click the Account(s) you would like to view.

4.  Select the drop down below to switch pages and see more accounts. 

5.  Double-click the Account Class(es) you would like to view. 

6.  Choose how you want the statements sorted from the drop-down menu.

7.  Choose the number of days until the statement is due from the drop-down menu.

8.  Select if you would like the base and need costs to be put into one line.  By default, True is selected with base and need cost combining into one line. 

9.  Select if you would like each leg to have its own line on the statement.  By default, False is selected and trip legs will be combined into one line.

10.  If you'd like to review a specific invoice, enter the invoice # here. 

11.  Select if you'd like to show statements that are fully paid.  By default, False is selected and fully paid statements will not generate. 

12. Select if yo would like the account number to be displayed. By default, False is selected and the account number will not be displayed.

13.  Click OK to generate the report.

 

1.  Click these buttons to toggle between pages.

2.  Your company's primary address, phone number, and fax number will be displayed here. 

3.  The account name and address are displayed under Billed To.

4.  The Date the statement was generated will be displayed here.

5.  The due date will populate here. 

6.  Your company's name and primary address will be displayed under Send Payment To.

7.  The client name, member #, PU address, DO address and DOS are shown in Description column. 

8.  The type of charge will be displayed here.

9.  The Quantity applied to the type of charge will be displayed in this column.  Mileage Quantity will be rounded. 

10.  The Rate for a single Quantity for the Type of charge will be displayed in this column. 

11.  The Amount is calculated by multiplying the Quantity by the Rate.  In the case of Mileage, the Amount is calculated based on the actual Mileage on the trip, rather than the rounded Mileage shown on the statement.

12.  The Total Due shows how much the customer is being charged on this statement.
